How to Use U-M Message Center
With Advanced Features


Using the Phone Interface

See Setting Up U-M Message Center With Advanced Features for instructions on setting up your voice mailbox, if you have not already done so.

  • Direct Access
      To access your mailbox to listen to your messages, dial
      6-5000   (734-936-5000)   Ann Arbor Campus*

      Enter your password and press #, when prompted.
      • Use the new password you selected during the phone set-up process.
      • If you cannot remember your new password, or it does not work, call ITCom Customer Service at (76)3-2000.
      • If you are dialing from a non-subscriber phone, you will first be prompted to enter your 10-digit mailbox number before you enter your password. Your mailbox number is your phone number including the area code.

    • Express Messaging
        To record a message directly into the mailbox of another Message Center subscriber (without ringing his/her phone), dial

        Enter the 10-digit mailbox number (phone number including area code) of the subscriber, when prompted.

    • Indirect Access
        You can also use the Express Messaging number to access your mailbox if you are dialing from the phone of another subscriber. When prompted, enter your mailbox number (phone number including area code) and press #. When you hear your greeting, press star (*). Enter your password, and press #. You will then be in your mailbox.

      *Note: Students must dial 7 digits from their room phones. For example, 936-5000 or 936-9200.


    • Call Forward All (for staff on all three campuses with programmable phone sets only)
        To forward all calls directly to your mailbox without ringing your phone, program your phone to forward calls to:

        6-9195   Dearborn Campus
        6-6775   Flint Campus



    When you reach your mailbox, you are greeted with the number of new and old messages in your Inbox. Then, you are asked to press a number to exercise the following options:

    Main Menu

    1 Listen to Voice Messages one at a time with header
    (a header tells when the message was received and who it is from)
    1-1 Listen to Voice Messages continuously
    1-2 Listen to Voice Messages continuously without headers
    2 Listen to Fax Messages (to listen to fax header only)
    4 Send Voice Message (to record and send a message to others)
    5-5 Delete ALL old voice messages
    Note: once you hang up, deleted messages are purged and cannot be retrieved
    9 Message Center Settings (to edit current settings or set additional options)

    All Menus
    0 Assistance (to get help with the current menu and learn additional options)
    * Repeat Menu (to go back to previous menu, or repeat menu if in Main Menu)


    1 - Listen to Voice Messages

    When you press 1, 1-1, or 1-2 from the Main Menu, each voice message is played and you have the following options:

    While Listening
    7 Go back 8 seconds
    7-7 Return to the message header
    7-7-7 Play previous message
    8 Stop message; press 8 again to restart
    9 Go forward 8 seconds
    9-9 Go to end of message

    After Listening
    1 Return to beginning of message to hear again
    2 Return to and play current message header only
    3 Delete message and move to the next message
    4 Forward message to another destination
    5 Record a reply to the sender's mailbox
    6 Save message and move to the next message
    # Return a call (to call back the number from which the message was sent)
    Note: if this is a long-distance call, your account will be charged for the call back

      After pressing 4, you have the following options:
      1 Forward to another Message Center mailbox number
      3 Forward to a telephone

        After pressing 1 or 3, you have the following options:
        1 Manually enter a number
        2 Send to a contact in your address book
        3 Send to a mailbox mailing list

          After pressing 1, 2, or 3, you are prompted with instructions for entering a number, adding a voice note, and setting the priority of the message.


    2 - Listen to Fax Messages

    When you press 2 from the Main Menu, each fax header is played and you have the following options:

    1 Send all new fax messages to print (on a fax machine)
    3 Review fax list (to listen to all fax headers)
      After pressing 1, you are prompted to enter a fax number.

      After pressing 3, each fax header is played and you have the following options:
      1 Print current fax message (on a fax machine)
      3 Delete fax and move to next fax message
      4 Forward fax to another destination
      6 Save fax and move to next fax message
      7-7-7 Listen to previous fax message

        After pressing 4, you have the following options:
        1 Forward to another Message Center mailbox number
        4 Forward to a fax machine

          After pressing 1 or 4, you have the following options:
          1 Manually enter a number
          2 Send to a contact in your address book
          3 Send to a mailing list

            After pressing 1, 2, or 3, you are prompted with instructions for entering a number, adding a voice note, and setting the priority of the message.
    To compose a fax or to read the contents of a fax sent to you (if you do not have a fax machine), you will need to use the web interface.


    4 - Send Voice Message

    When you press 4 from the Main Menu, you have the following options to record and send a message:

    1 Send to another Message Center mailbox
    3 Send to a telephone number

      After pressing 1 or 3, you have the following options:
      1 Manually enter a number
      2 Send to a contact in your address book
      3 Send to a mailing list

        After pressing 1, 2, or 3, you are prompted with instructions for entering a number, recording a message, and setting the priority of the message.


    9 - Message Center Settings

    When you press 9 from the Main Menu, you have the following options:

    1 Set up or edit your mailbox greeting
    2 Set up or edit your voice signature
    3 Change your password
    4 Delete your mailbox greeting
    5 Set up "follow-me" number

      After pressing 1, you have the following options:
      1 Record personal greeting
      2 Record temporary greeting
      3 Record busy greeting
      4 Activate personal greeting
      5 Activate temporary greeting

        After pressing 5, you have the following options:
        1 Enable "follow-me" number (to enable a preset forwarding phone number)
        2 Disable "follow-me" number (to disable a preset forwarding phone number)
        3 Set "follow-me" number (to indicate another phone number to forward your calls to; this operation is also available through the web interface)

    Using the Web Interface

    Log In

    To open the Log In screen, press the LOG IN button at the upper left on the first page. At the Log In screen (shown below), enter the requested information.

    • Enter your User Name
      - Staff with a personal phone: enter your uniqname.
      - Staff with a shared phone: enter your department-assigned mailbox name.
      - Students: enter your 7-digit room telephone number.

    • Enter your Message Center Web Access Password
      - Enter the new password you selected during the web set-up process.
      - If you cannot remember your new password or it does not work, call ITCom Customer Service at (76)3-2000.
      - If you did not select a new password during the web set-up process, your initial 7-digit password is still valid—but you should change it soon.

    • Press LOG IN

    After logging in, you are welcomed to your Message Center mailbox.

    Select Inbox for checking the voice and fax messages you have received.

      The screen displays 25 messages at a time with the most recent appearing at the top of the first page.

      Most Message Center web operations are intuitive. Detailed explanations are available in the On-line Help guide under the Help tab. Following are some of the notations and frequently used operations.

      Message Types

        Indicates unread voice message  
        Indicates read voice message
        Indicates unread fax message A fax message can be sent to your mailbox from a fax machine (and from your mailbox to a fax machine). An incoming fax message rings your phone and is sent to your mailbox after the third ring. If you answer your phone when a fax message is being sent, hang up and let the next call go through to your mailbox.
        Indicates read fax message
        Indicates unread e-mail message E-mail messages from the Message Center System Administrator explain the status (success or failure) of fax messages you send.
        Indicates read e-mail message
        Indicates an attachment  
        Indicates that the sender considers this message high priority  

      Opening a Message

        Click on the Subject line to open the message.
        To listen to a voice message, click on the player bar either in the Inbox Subject line or on the Message page.

        Note: Mac OS 9.x users need to download a separate audio player; see Frequently Asked Questions (FAQ) at the end of this document for more information.

        If you are at a Campus Computing or ResComp Site, you may need (and want) headphones to listen to your messages.


      Deleting a Message

        Select the message to delete by clicking in the box ; then click

        To purge deleted items, click

      Checking for New Messages

        To check for new messages that may have arrived after you have logged in, click .

      Finding a Message

        To find a message (or messages) that contains a certain phrase or word, click .

      Composing a Message

        Click on Compose and follow the directions. You can compose a text message and send it to a phone, fax machine, other subscriber's mailbox, sms device (Sprint or Nextel), or pager (Hospital, Ameritech, Verizon, or SBC Gold). A voice message can also be composed at your computer (if you have a microphone and driver) to send with your phone or mailbox message. Attachments can be sent with your message to a fax machine or mailbox.

    Message Page

      After you click on the Subject line of a message in the Inbox, a Message Page is opened. The page displays the message subject, sender, recipients, date, message contents, and names and sizes of any attachments. Then, the following options are available.

      Click to close the message and return to the current folder.
      Click to mark the message as unread.
      Click to Reply to the message.
      Click to Reply to All who received the message.
      Click to Forward the message.
      Click to delete the message.
      Click to get a printer friendly version of the message; then use your browser's print function.
      Select a folder indicated in the Move message to...
      list to place the message in another folder.
      Click to view the previous message.
      Click to view the next message.

    Options Page

    The Options Page includes the following operations. See Overview of Web Messager Options (in On-line Help guide under the Help tab) for specific directions on how to use these options.

    Virtual Assistant

    Use Virtual Assistant to set rules for incoming messages to be blocked or redirected (for example, to a specific folder); or to set rules for notification or delivery of messages to another device (for example, a pager or cell phone). Note: you do not need to set a rule to transfer calls to another device; use the Find Me or Follow Me features to transfer calls.

    Schedule Settings

    Use Schedule Settings to specify days and times for the Virtual Assistant to use when setting rules.

    Direct Phone Access

    Use Direct Phone Access to log in to your mailbox automatically by setting up to three direct access numbers.

    Web Access Password

    Use to change your web access password.

    Telephone Access Password

    Use to change your telephone access password.

    Signature

    Use to create or edit a custom signature to add to your outgoing text messages.

    Find Me/Follow Me

    Use Follow Me to transfer incoming calls from your room telephone to another telephone (for example, a cell phone). Note: calls to a cell phone may be long distance and U-M long distance charges will apply. Also, your cell phone plan may charge you for incoming calls; check with your cell phone provider.

    Use Find Me to transfer incoming calls from your room telephone to one to three pre-configured numbers (and to set the number of rings at each phone). If you are not available at the first, the system rings you at the second, and so on.

    With both the Find Me and Follow Me features, your room telephone rings first; at the fourth ring, the call is routed to the Message Center for directions on where to transfer the call next. If calls are not answered, callers are transferred back to your mailbox to leave a message (assuming the number of rings to the transferred phone is less than the number set for pickup by the answering service on that phone).

    Another note about cell phone calls: your cell phone needs to be on for transferred calls to reach Message Center voice mail if unanswered. If your cell phone is off, all calls to it are usually transferred immediately to your cell phone voice mail.

    Personal Attendant

    Use Personal Attendant to set up extension numbers for callers to be transferred to. After setting up, indicate the keys (for your caller to press) in your personal greeting. Example: "Press 1 to reach my secretary; press 2 to reach the office receptionist; or stay on the line to leave me a message."
